Overview

The Land Information System Administrator for the Nature Conservancy of Canada’s (NCC’s) Ontario Region is responsible for the administrative support and functions related to NCC’s Ontario Land Information System (LIS).  Core duties include: records management and processing, preparing property tax remittance and rebates, data entry, updating, organizing, archiving and creating paper and electronic files; and developing, implementing and managing paper and digital document management systems as well as general office support to NCC’s London, Ontario office.

Key Responsibilities:

Within the context of Ontario Region’s business plan, the Land Information System Administrator will be responsible for the successful accomplishment of the following duties:

Land Information System (60%)

  • Work with ARVP, Conservation and sub regional Program Managers to input land related data to Ontario’s LIS, coordinate Year-To-Date, Schedule of Project Funds and other reports;
  • Work with ARVP, Conservation and sub regional Program Managers and other to submit Conservation Project Summaries and related forms, cheque requisitions, land/easement donation forms and required supporting documentation to National office;
  • Work with ARVP, Conservation and sub regional Program Managers maintain consistent paper and electronic records management;
  • Maintain up-to-date property-related legal agreements and Program related contracts in paper and digital forms.

Completed Land Protection Projects (30%)

  • Ensure the timely remittance of property tax information (to the Regional Controller to process and forward to national staff);
  • Where applicable, enrol properties in tax rebate programs;
  • Support sub regional Program Managers in the development and submission of property liability information and serve as regional contact for all matters related to property insurance;
  • Prepare reports to Environment Canada’s Ecological Gifts Program.

Other Duties (10%)

  • Complete the updating and filing of historical property information in paper and digital forms;
  • Take primary responsibility for the consistency of project naming across the region and interacting with sub regional Program Managers and national staff on these matters;
  • Provide reporting and statistics to National office as required;
  • Provide general office support to the London office, including reception, mail/courier, and maintaining office supplies, etc.;
  • Other duties as assigned by the Associate Regional Vice President, Conservation, Ontario.

Skills and Aptitudes:

  • Computer competency MS Office, Adobe Photoshop, Corel Photo Paint, etc.;
  • Advanced Microsoft Access understanding including database design (SQL knowledge an asset);
  • Understanding of provincial and federal conservation lands programs;
  • Ability to work as a member of a team or independently;
  • Personal traits such as communication, interpersonal, organization, multi-tasking, accuracy, attention to detail and ability to meet deadlines and maintain confidentiality;
  • Flexibility, reliability, self-motivation;
  • Project management skills, including excellent problem solving, planning and organizational skills, and attention to detail and timelines;
  • Demonstrated ability to manage staff and/or volunteers;
  • Willingness and ability to travel, and be available for consultation, advice and leadership on an on-call basis.
