SALARY: $25.24 – $27.67 per hour

HOURS OF WORK: 70 hours bi-weekly (Shift as required for operational requirements)

STATUS: Regular Full Time

SUMMARY:
Under the general direction of the Senior Manager, I.T. & G.I.S. Services and working independently, the incumbent performs a diverse variety of technical and administrative functions in support of division staff.

DUTIES & RESPONSIBILITIES:

  • Creates and maintains multi-level MS Project files for IT Divisional projects, working closely with IT management and supervisory staff to ensure information is accurate, current and accessible.
  • Maintains electronic records relating to hardware, software, licenses by user/by department systems, contracts, user lists for all land line, cellular and blackberry devices and other client services.
  • Authorizes, purchases and receives new hardware and software shipments, verifies product delivery to purchase, and records each item in the electronic inventory. Completes warranty information and distributes equipment accordingly. Follows up on outstanding items and processes warranty returns. Uses electronic tools such as Crystal Reports and SQL query to monitor inventory data stores.
  • Develops, schedules and delivers IT training programs to internal staff, ensuring training content meets CRD needs; coordinates the contracting of external training consultants, including scheduling and organizing session attendance.
  • Regularly monitors software updates and patches for a wide variety of software, ensures patches and versions are scheduled for software assurance testing, and appropriate documentation is prepared.
  • Verifies time entries submitted by division managers are accurately completed each month, produces month-end recovery reports for review and approval by the Senior Manager; and forwards to Finance for processing once approved.
  • Provides general administrative support to Division staff by performing such tasks as word processing, graphical presentations, expenditure tracking including P Cards, and electronic tracking of contractual commitments, tracking and analysis of statistical data, preparation of agendas for IT Committees, minutes, reports and monitoring and reporting of division budget and expenditures.
  • Assists with non-routine help desk requests from internal customers as required, ensuring call is logged and passed on to the appropriate support specialist, should call escalation be required.
  • Produces weekly call escalation work order report.
  • Produces monthly 9-1-1 statistical and operating reports for review by Senior Management.
  • Prepares updates for posting on CRD Central containing current information pertaining to significant department initiatives.
  • Liaises with vendors and contractors in the delivery of products and services to the department and the organization.
  • Works with IT Divisional staff to ensure technical roadmaps are developed, available and timely.
  • Administers contracts and agreements for the purchase, lease, and maintenance of Division office equipment such as photocopiers, fax machines, etc.
  • Develops and administers the office supply budget and ensures that adequate supplies of office stationery and materials are available.
  • Performs all duties in a safety conscious manner and in accordance with applicable rules and procedures, with due care for self and others, reporting and acting to resolve all safety concerns
  • Follows all policies, procedures, and standards of the CRD.
  • Performs other related duties as required.

QUALIFICATIONS:
Undergraduate degree plus a minimum of 2 years related experience, or Technical School Diploma plus minimum three to five years related experience, or the equivalent amount in education and training. Experience will include effective performance in similar office environments, including use of SAP, Crystal Reports, software packages and office applications, such as PowerPoint, Microsoft Access, Excel and specialized software such as MS Project. Excellent working knowledge of computers and computer software. Thorough knowledge of MS Project software. Thorough knowledge of the corporate-wide applications suite (e.g. MS Word, Excel, Access, Outlook, PowerPoint) and commonly used applications (e.g., MS Visio, and Crystal Reports).The ability to develop reports, SQL queries, familiarity with creating HTML, ability to perform basic data analysis and has some basic XML data skills. Ability to comprehend and communicate technical information from a variety of sources
(such as manuals, courses, meetings, etc.). Advanced computer skills and proficiency with industry standard desktop software. Thorough knowledge of SAP purchasing and reporting including Cost Centre and GL structures. Highly developed communication and interpersonal skills, ability to form effective relationships with internal clients. Good understanding of the concepts of preventive maintenance, work orders and time tracking. Proven ability to work positively within own team and across the organization to achieve group and organizational goals. Excellent communications (verbal and written) interpersonal, and customer service skills are required. Must possess a valid BC Drivers License.
